We can't share the children's names in our organisation how do we identify them?

If your organisation can't disclose the names of the tamariki in your care — like a women's refuge, or any service where privacy and safety come first — you don't need to. There's an easy way to keep everyone safe while still making sure every koha lands in the right place.

Use a placeholder in the 'Who' column

You don't have to put a real name anywhere on your koha sheet. Most of the refuges and services use a simple placeholder in the 'Who' column, like:

  • Cool boy 1

  • Cool boy 2

  • Cool girl 1

  • Cool girl 2

Anything that lets you tell one child apart from the next works. The First name and Surname columns are never shown to gifters, so you can add them there, though you don’t need to if you can tell by the details in the ‘Who’ column, who the gift is for. That’s what will be printed on the label along with their age, gender, and the team/group details (below).

Put the team or group in the 'Class/Group' column

Then, so you can allocate each box back to the right place, use the 'Class/Group' column for the team, house, or group each child is under.

That way, when the gifts come back to you, the 'Who' and 'Class/Group' together tell you exactly where each one needs to go — without a single real name on the sheet.

A gift voucher shows Child-17, recipient details, and a Merry Christmas message, with a green tree logo in the upper-right corner. Visible: HE KOHA MĀU - A GIFT FOR YOU, Child-17, 7 - Female - Room 5, A made up school, School office, Meri Kirihimete.

Why this works

The giving on Koha Tree is anonymous either way - gifters never see which child they've been matched with, and the child never knows who gave. The placeholder keeps that protection intact on your end too, so the tamariki in your service stay safe while still getting their koha.

Still stuck?
